  1.         MAIN JOB FUNCTIONS (KEY PERFORMANCE AREAS)

 

  • Device and Database Operation, Security, Maintenance and Development:
  • Ensures the efficient and cost-effective operation of all hardware and software devices used throughout the divisions – to name but a few: desktops, laptops, servers, office printers, fax machines, scanners, 3G cards, cellphones, etc. – including ordering and assembly thereof
  • Installs and configures project-related computer hardware
  • Assists staff with the operation, set-up and exchange of their cellphone and 3G devices
  • Assists remote users with connectivity to the LAS & S&R networks
  • Performs daily back-ups of information
  • Monitors and controls internet usage
  • Monitors and controls virus activity
  • Assists in development of IT hardware requirements
  • Keeps abreast of the latest IT developments and any applicable upgrades available, that may need to be presented for authorisation and implementation

 

  • Cost Control:
  • Maintains and presents to the Commercial Executive on a monthly basis a detailed analysis of IT expenditures incurred against those budgeted – providing reasons for significant deviations evident therefrom
  • Analyses and costs alternative supplier sources for existing costs being incurred on IT-related infrastructures such as – to name but a few - office equipment, voice and data lines, etc.
  • Negotiates the renewal and initiation of new cellphone and 3G data contracts

 

  • Fixed Assets:
  • Keeps the Financial Accountant, Financial Assistant and Commercial Executive abreast at all times of any inter-company IT-related asset transfers (in or out) so that these can be correctly accounted for in the general ledger and fixed asset registers
  • Timeously informs the Commercial Executive and Financial Accountant of any and all capex requirements – as far in advance as possible – and completes the relevant required capex forms in respects thereof

 

  • Financial Year-end:
  • Generates the IT portion of the budget and controls expenditure in line therewith
  • Pro-actively and timeously assists auditors with any queries raised or reported on, as well as any additional items requested throughout the audit over-and-above what was initially requested on the PBC list (keeping a detailed list of any such additional items)

 

  • Safety, Health, Environment, Risk & Quality (SHERQ):
  • Group’s management team leads by example through adherence to the S&R Group’s Health & Safety, Quality & Environmental Policies and Procedures, as well as the laws and by-laws that need to be complied with. The management team is the custodian of the SHERQ system and it is their responsibility to ensure the system is successfully implemented and maintained. Each staff member is, however, responsible for his / her own health and safety as well as those of their subordinates (if any) and is thereby required to identify hazards, assess risks and implement control measures to address any risk so identified.

 

  •  
  • Assists Financial Accountant, as required, with figures required for compilation of weekly cashflow forecasts (extending 6 weeks ahead)
  • Ensures that the any items raised or requested by the Commercial Executive through the course of the month are addressed within the agreed timeframes allowed therefor and any such items not so addressed are reported on (with reasons for non-completion) and subsequently attended to within the new  timeframes set therefor
  • When necessary, types up faxes / business letters / memo’s / etc. otherwise for distribution to internal or external parties

 

NOTE:The above points do not constitute the incumbent’s sole job function, but should rather be used as a guideline.
